Weekly Team Meeting Rhythm

This is the “heartbeat” of how we work together. These rhythms keep everyone aligned through Microsoft Teams, BGMD email, weekly status updates, and focused check-ins.

We keep meetings focused, predictable, and worth your time. Most decisions and planning should happen through BGMD email, Microsoft Teams, and scheduled check-ins — not random personal text threads.

  • Weekly Operations & Programs Check-In
    1x per week virtual meeting — Head of Operations, Programs, and key leads review the BGMD Club Pilot Program, activity kit timelines, parent support needs, blockers, and next steps.
  • Weekly Partnerships / Development Touchpoint
    Quick sync to review sponsor conversations, in-kind donations, grant deadlines, partner follow-ups, and upcoming asks.
  • Weekly Social / Content Sync
    Aligns program updates, family stories, activity kit moments, events, wins, and approved media with what shows up online.
  • Office Hours / Open Q&A
    A consistent time where team members can bring questions, ideas, or problems instead of trying to fix everything alone.
  • Weekly Status Email
    Required every Friday by 5:00 PM EST so leadership has a clear record of progress, blockers, support needs, and next steps.

How we use time and messages

We don’t expect people to live inside Teams or email, but we do need clear response norms so work keeps moving.

  • 24–48 hours response time on non-urgent BGMD email or Teams messages.
  • Use the correct channel: Operations, Programs, Partnerships, Social/Content, Finance, or Parent Support.
  • Tag people when something truly needs their eyes (@Name inside Microsoft Teams).
  • Use BGMD email and Microsoft Teams for official updates, decisions, files, and documentation.
  • If something is urgent involving safety, money, families, partners, or access, escalate through Operations.
Bottom line: No one should be guessing “when do we meet?” or “where do I share this?”. These weekly rhythms are where we plan, align, document updates, and support each other.

How a “normal” BGMD week feels

Exact days and times may shift, but this gives you a sense of how we like the week to flow once we’re fully up and running.

  • Monday: Review BGMD email, Microsoft Teams, calendar updates, and priorities for the week.
  • Tuesday: Weekly Operations & Programs meeting; confirm kit timelines, program needs, logistics, and to-dos.
  • Wednesday: Partnerships / Development touchpoints; follow up on sponsor emails, grants, and partner asks.
  • Thursday: Social / Content sync; align approved updates, stories, photos, videos, and public-facing posts.
  • Friday: Weekly status email due by 5:00 PM EST with wins, progress, blockers, and support needed.

As we evolve, this rhythm may adjust — but the goal stays the same: no chaos, no surprises, and everyone knows the “beat” of the work.

Monthly Rhythm

  • Monthly Team Huddle: Big-picture update on the BGMD Club Pilot Program, partnerships, funding, events, and operations.
  • Metrics & Wins: Share family feedback, activity kit updates, parent engagement, team wins, and what’s working well.
  • Adjustments: If something isn’t working, we name it and decide what to try differently next month.

Think of the monthly rhythm as a chance to zoom out and make sure the work still matches the vision.

Seasonal / Big Moments

  • Before launch: Make sure roles, Microsoft 365 access, Teams channels, dashboards, files, and key dates are clear.
  • During program season: Track activity kits, parent communication, session needs, partner updates, and team capacity.
  • Mid-season: Pause to collect feedback from families, girls, team members, and partners while we still have time to adjust.
  • After major events: Debrief what went well, what was hard, and what we’ll do differently next time.

Our work follows a rhythm: prepare, launch, support, celebrate, reflect, and improve. No one is expected to carry all of this alone — we move through it together.
