High-level look at when we onboard, launch programs, run the Pink Carpet, and close the year. Each department uses this as the shared rhythm.

January 2026
Team Onboarding & Setup
  • Operations: New BGMD team members onboarded and placed into departments.
  • Operations / Admin: Microsoft Teams, shared folders, and tools access confirmed for each team member.
  • Programs / Operations: Orientation, culture, and vision sessions completed.
  • Partnerships / Development: Initial sponsor outreach and grant preparation begins (including early Pink Carpet interest).

Program Design & Partner Build
  • Programs: Finalize what topics and activities you’ll run each week and the order they’ll run in before launch.
  • Partnerships / Operations: Confirm key partners, vendors, and in-kind sponsors for launch and the Pink Carpet.
  • Operations / Partnerships: Scout, select, and lock in the Harlem Pink Carpet venue for May 23 (date hold, contract, and insurance as needed).
  • Product & Shipping / Operations: Send product donation requests for Pink Carpet goodie bags and confirm shipping/delivery timelines with sponsors (target all products in hand by May 1).
  • Finance / Development: Align calendars with fiscal sponsor and key grant/reporting timelines.
  • Programs / Comms: Prepare family-facing communications and enrollment flow language.

Program Launch
  • Programs / Operations: March 17: After-school program launch.
  • Programs: First cycle of weekly sessions begins and stabilizes.
  • Programs / Operations: Ongoing check-ins with mentors, staff, and families.
  • Product & Shipping / Operations: Track incoming Pink Carpet product donations; flag any delays early so we can adjust goodie bag counts.
  • Social / Content: Content capture for social media and future storytelling (with consent).

  • Primary: Head of Programs + Head of Operations.
  • Supports: Partnerships, Social/Content, Finance, Product & Shipping.
  • All changes that impact families, events, venue, or funding must be coordinated with Operations.

How to Use This

  • Align your department plans to these months and anchor dates.
  • Flag conflicts or needs early in the Teams “Operations” channel.
  • Use this overview alongside the shared BGMD digital calendar.
Programs: What to keep in mind across this calendar
  • January–February: Lock in what topics and activities you’ll run each week and the order they’ll run in before launch.
  • March–April: Protect a steady weekly rhythm. If a session has to be changed or cancelled, communicate early and clearly with families.
  • May: Run the Harlem Pink Carpet event in a way that visibly shows what girls have done and learned.
  • June: Capture reflections and feedback from girls and families while the experience is still fresh (surveys, quotes, quick check-ins).
Operations & Calendar Changes
  • Only the Calendar Manager / Head of Operations (currently Tanika) updates the BGMD digital calendar.
  • If you need something added or changed, send: event name, date/time, department, who is affected, and any notes families need to know.
  • Operations / the Calendar Manager will make sure it appears on the shared BGMD digital calendar, the Teams “Operations” or “Events” channel, and in any family-facing updates if needed.
  • Post proposed changes in the Teams “Operations” channel before treating them as final. Don’t promise new dates to families or partners until Operations confirms.
